    GCSANY Executive Director Position Opening

    NATURE OF WORK:

    The Golf Course Superintendents Association of New York (GCSANY) is seeking a (part time/20 hours/week) Chapter Administrator (C.A.). The C.A. will serve as an independent contractor compliant with the guidelines set forth by the Internal Revenue Service.  This position is open to anyone who feels they can perform the job, not just those within the Golf Course Maintenance industry.

    The C.A. hired by GCSANY will plan, organize, direct and carry out all administrative duties for programs, activities and daily operations of this chapter under the guidance of the Board of Directors and will be responsible to the Board of Directors and the membership of the GCSANY.  GCSANY is a 501(c) (6) Not for Profit organization.

    ESSENTIAL DUTIES:

    • ·       Responsible for the organizations production and distribution of agendas, along with attendance at select Board meetings.
    • ·       Responsibilities include: recording, and distribution of minutes and reports for all Board meetings.
    • ·       Plans, formulates’ and recommends to the Board for approval; ideas or programs that will enhance the goals and operations of the GCSANY.
    • ·       Employee should be available to attend GCSAA annual conference and/or GCSAA Chapter Executive’s meetings at the expense of the association if requested by the Board of Directors. Available to attend educational programs relating to chapter management while there. 
    • ·       Coordinate seminars, educational meetings, and assists with any reporting necessary for ongoing member accreditation requirements. 
    • ·       Plans and administers all official meetings of the association. Attends meetings and golf events at the request of the Board of Directors. Works with host venues to handle registration and check-in at meetings and collection of appropriate monies. Plan and implement fund-raising activities. Negotiates contracts/leases for meetings and educational events. Solicits vendors for meeting logistics and secures speakers and meeting RSVP’s. Finalizes all speaker and meeting venue details.  Work in concert with the appropriate entities to publish and distribute the yearly events calendar. Reconciles the financials of all meetings.
    • ·       Communicates with the Board of Directors essential aspects of operating the association and executes decisions of the Board as directed.
    • ·       Assists in membership promotion and renewal programs while maintaining all membership records. 
    • ·       Leads in the design, layout, edit, and timely production/distribution of the newsletter.
    • ·       Maintains GCSANY Web Site
    • ·       Responsible for the timely preparation and submission of yearly tax documents.      
    • ·       Helps develop and prepares annual budget.
    • ·       Maintains all financial records and accounts payable, accounts receivables, collects monies (credit cards, checks or cash), reconciles bank account and money market funds, pays bills.  Provides monthly financial reports to the Board of Directors. 

    COMPENSATION GUIDELINES

    a)          $35,000 Base salary per yearly contract

    b)         Paid monthly with 12 total payments of $2,916.00 each.

                  - Travel mileage to be reimbursed at current IRS seasonal rates.

    - Travel to GCSAA sanctioned events (Chapter Executive Symposium, Golf Industry Show, etc.) will be paid by GCSANY.  All travel is at the sole discretion of the board and must be board approved.        

    c)          Funds for any additional administrative assistance will be the financial

    responsibility of the Executive Director

    d)         Contractor is required to provide office supplies and equipment including but not limited to cellular phone, laptop computer, internet access, and printer.

    f)           Office or home office is helpful for this position
